This policy explains what information Pharmdas collects, why we collect it, and what we do with it. Pharmdas is a pharmacy management system built and run by Goodisoft Technologies, a company based in Abakaliki, Ebonyi State, Nigeria. In this policy, "we", "us" and "our" mean Goodisoft Technologies.
It covers this website (pharmdas.com), the Pharmdas web app at app.pharmdas.com, and the Pharmdas offline app for Android. Please read it alongside our Terms & Conditions.
We have tried to keep it short and readable. If anything is unclear, email us at support@pharmdas.com and we will explain.
1.Who is responsible for your information
Two kinds of information pass through Pharmdas, and the responsibility for each is slightly different.
Information about you as our customer. This is your name, contact details, pharmacy details and account information. We are responsible for this information and for how it is used.
Information your pharmacy records about its own customers and patients. This includes customer names, phone numbers, credit balances and prescription records. Your pharmacy decides what goes into Pharmdas and why, so your pharmacy is responsible for it. We store and process it only on your behalf, so that we can provide the service to you.
If you are a customer or patient of a pharmacy that uses Pharmdas and you have a question about your records, please contact that pharmacy first. They control those records. If they need our help to answer you, we will help them.
2.What we collect
When you visit this website
This website does not use advertising trackers or analytics cookies. Like most websites, the servers that host it keep basic technical logs, such as your IP address, browser type, the page you opened and the time you opened it. We use these logs to keep the site running and to look into problems.
If you contact us through the website, by email or by phone, we keep what you give us. That is usually your name, pharmacy name, phone number, email address, location and your message.
When you create an account
We collect your name, email address, phone number and password, along with your pharmacy's name, address and branch details. Your password is stored in a scrambled form, so we cannot read it.
When your pharmacy uses Pharmdas
Pharmdas stores the records you and your staff enter, including:
- Products and stock: drug names, batch numbers, expiry dates, prices and suppliers
- Sales, receipts and other transactions
- Staff accounts, their roles, and a log of important actions (who did what, and when)
- Customer records and credit balances
- Prescription records, if you use that feature
- Purchase orders and stock transfers between branches
Prescription and other health-related details are sensitive. Please record only what your pharmacy actually needs.
When you use the offline app
The offline app keeps a copy of your pharmacy's data on the device, so you can keep working when the internet is down. That data stays on the device until it syncs with our servers. Anyone who can unlock the device may be able to see it, so please keep your devices locked and secure.
Cookies
The Pharmdas app uses a small number of cookies, or similar storage in your browser, to keep you signed in and to remember basic settings. We do not use them for advertising. If you block them, you may not be able to sign in.
3.How we use your information
We use information to:
- Run Pharmdas for your pharmacy: record sales, track stock, sync your branches and produce your reports
- Create and protect your account, including checking that sign-ins are genuine
- Help you when you contact our support team
- Send you messages about your account, such as security alerts, billing notices and important changes to the service
- Send product news, but only if you have subscribed. You can unsubscribe at any time.
- Find and fix bugs and make Pharmdas better
- Meet our legal obligations
We do not sell your information. We do not use your pharmacy's records or your patients' details for advertising, and we do not pass them to drug companies, marketers or data brokers.
5.How we keep it safe
We take reasonable steps to protect your information, including:
- Encrypted connections between your device and our servers
- Passwords stored in a form that cannot be read back
- Role-based access, so each staff member sees only what their role allows
- An activity log that records important actions in your account
- Limiting which members of our team can access customer data, and only when they need it for support or maintenance
No system is perfectly secure, and you have a part to play too. Use strong passwords, give every staff member their own login, remove access as soon as someone leaves, and keep devices running the offline app locked.
If we find a security breach that affects your data, we will tell you without undue delay. We will also notify the Nigeria Data Protection Commission where the law requires us to.
6.How long we keep it
- Account and pharmacy data: for as long as your account is open.
- After you close your account: you can ask us for a copy of your data before you close it. We delete or anonymise your pharmacy data within 90 days of closure. The exception is anything we must keep longer for legal, tax or accounting reasons, such as billing records. Copies in our backups are removed as those backups are replaced.
- Messages to our support team: for as long as we need them to deal with your request, and for a reasonable time afterwards in case you follow up.
- Website server logs: for a short period, then they are deleted.
Your pharmacy may have its own legal duty to keep sales or prescription records for a set period. That duty is yours, so please export what you need before closing your account.
7.Your rights
Under the Nigeria Data Protection Act 2023, you can ask us to:
- Give you a copy of the personal information we hold about you
- Correct information that is wrong or out of date
- Delete your information, unless we have to keep it by law
- Stop or limit certain uses of your information
- Give you your information in a format you can take elsewhere
- Stop using your information where you previously gave consent, such as for our newsletter
To make a request, email support@pharmdas.com with "Privacy request" in the subject line. We may need to confirm your identity before we act on it. We aim to reply within 30 days.
If your request is about records a pharmacy keeps about you as its customer or patient, please contact that pharmacy directly.
If you are not happy with how we have handled your information, you can complain to the Nigeria Data Protection Commission. We would appreciate the chance to put things right first, so please talk to us.
8.Children
Pharmdas is a business tool, and only adults aged 18 or over may create an account. Pharmacies sometimes record details about patients who are children, for example a child's prescription. Those records belong to the pharmacy and are handled as described in section 1.
9.Changes to this policy
We may update this policy when Pharmdas changes or when the law changes. The date at the top of this page shows when it was last updated. If we make an important change, we will tell account holders by email or inside the app before it takes effect.
